I recommend using an accounting system that is designed for this. I use Wave which is FREE. www.WaveApps.com
Once you are setup and up to speed it is great. I use it to send out invoices, collect booking deposits (they process CC or echeck payments online), and manage expenses. And it syncs with your bank account so you can check all of your deposits and payments against what you've billed/spent. They have an app that you take a picture of all your expense receipts....it scans the fields and pulls out the store, date, totals, etc. Then all you do is choose the category for the expense and which account it goes to and you are done. At the end of the year you click reports and pull up all your expenses categorized nicely, and send it to your accountant.
Did I mention it is free?

Is there any plans to add costs that we incur, like supplies, cleaning cost, insurance cost etc etc (the parts that IRS wants in Schedule E) into the property directly. So we can use as a database for yearly taxes and also know the current sales - total costs for the year per each property.
Any news on the ETA or ETA for ETA?
MailChimp has a full API so it's possible for us to keep lists updated on that side too (ie. as bookings/guests change in OR) but it's just not something that we've had time to do. The problem is also that MailChimp isn't the only newsletter tool out there - there are zillions of them - and MailChimp has gotten expensive for small businesses in recent years.
Mailchimp supports updating customers so I suppose you could update the existing records in MailChimp with new info.
Someone signing up without dates could be labeled news
with dates inquiry
with booking tenant etc.
It would be great if OR could autofeed that funnel so that the manual work of updating would work.
I just thought it might be nice to not have two signup forms on one website. I am not sure of anyone that does that.
Maybe this sort of tech is beyond reach but making things automatic and seamless should be the goal and dealing with non-automatic systems that require manual export import each time a mailing is done is a drag.
As for segmenting I generally want anyone that has touched my property to know my news etc.. I might A-B them different campaigns but they would get the same message.

Typically, best practice is to segment your list so you can target marketing. Somebody who signs up for your newsletter should be tagged differently than someone that has inquired or booked through OwnerRez, not blended together.
I think I asked about this previously, but in case it was part of another discussion I'll add it as a feature request.
It would be super helpful to have a checkbox when setting up a custom field to flag that it must have content.
At the most simple implementation perhaps the existence of a custom field without content could simply be shown as a red number on top of the Bookings menu, similar to what occurs when there are unread inquiries.
Or here's a really simple approach - If the flag is set the field will be filled with content in red such as
"Alert: We have notified the owner that the information they intended to provide here is missing"
By doing this the email sent to the guest will at least have unusual content, and since I always cc myself on guest emails and scan them I'd probably notice and fix the problem.
A stronger implementation would prevent the sending of automated emails if the field is referenced in the email but was empty. Either prevent the sending or alert the owner or both.

I'm already finding after just several weeks of using OR that because I don't have to manually draft emails to send I am paying less attention to the arrival day and lead up to bookings. That's what I want, but there's a risk that I forgot to setup of the keycodes when the booking was created and as it stands now, the emails would be sent without anything in the field. And it's very easy to overlook the absence of content like that.
My only alternative at the moment here is to create a special email that gets sent to a service like ITTT or Zapier on the day after booking and parse the content looking for valid keycodes. And then emails me daily until I fix it. But that's a messy solution and I'd rather hope that OR can provide some kind of safety net instead.
Beat practce would be One form that funnels to both owner Rez and Mailchimp.
It would save us the export import steps.

There are many other similar tools if you use other emailing systems.
i came here looking for this too. Not really an issue with guests who have requested a quote etc..however what about visitors and paid traffic that i send to the site..they hang out there and then probably browse and leave. I was hoping there is a solution to capture their emails? is there a way to do it, if not mail chimp? thanks

Yep, we need to do better on that. The fundamental problem with that is the support content itself, not the search. Our support docs are very limited and only cover a small part of the system. Many many features are not documented. We have a plan in place to work on that over the upcoming months.

I'm really really new at vr rental, and to OR. First - the customer service you guys provide is amazing. Thank you. This is way more complicated to set up than one might imagine, and you guys are are easy to flag down and get one on one personal help. Thank you.
To that end, i feel like the 'search' of it all could be updated. As a newbie, i'm constantly getting lost on this sight. there are a ton of rabbit holes to go down, and once i go down one rabbit hole, I can't get back to where I started. If I could search words and phrases, it would make it easier to get around. One example would be 'push rates' or 'push rate'. I read about it, but had a hard time finding it again. Another item that took me forever to locate, was my 'orp' address. which brings me to my 2nd suggestion - updating the profile information...
'Orp address' could also be searchable. Likewise, it could also be located under Profile Information. Anything unique to a person or entity's distinguinshing characteristics should be easily located and Profile Information would be a good place for said items.
Just a couple of thoughts. This website goes deep. Searching it more effectively would go a long way and would alleviate a lot of the hands on you guys do. After reading the recap of what y'all did in 2018, I can tell you're busy. If search were elevated, it would free up your time. Just sayin...

We just want to be able to offer discount coupons as promos or individually, and then allow bookers to redeem by entering the code in a field when checking out through OR.
I didn’t see this before posting my topic. I just posted that even if we just had a box we could click that we have verified the license would be great.
I have several properties and have just learned how to use this program. I would love if there’s somewhere that I can just click a box that I have verified the drivers license. I have them text or email a copy and if there was one simple click that would make things so much easier.

Thank you, Chris. I do have a template that I use to email the guest after they provide their photo ID. I'm glad to hear that a photo ID requirement and trigger is in the works for the future. Looking forward to that feature!
The "send a copy to me" is the closest to a BCC.
You can put multiple email addresses in the TO which gets you basically the same as a CC.
And yep, we're working on additional improvements!

We do have plans to add the option for a photo id requirement, and then it'd be something where you could trigger.
I have cabin guest information that I email after receiving a copy of the guests driver's license. It would be cool to have that email triggered to go out after I upload the photo to their files tab. I'm probably wishing for the moon here...
The booking calendar shows the guest name and number of guests. Would really love to see the channel name as well.

Would be nice to automate sending to owners and cleaning staff some of the reports. This implies the automated triggering and attachment of certain reports which would NOT be associated with just a single booking, but instead with a range of bookings.
For cleaning people and myself it would save a lot of time to not have to manually run reports or log into a system, but to instead get periodic emails that aggregate the relevant information.
The existing per-booking automation is nice, but having automated reports would be very powerful and I think would become an important feature that everyone associated with OwnerRez would appreciate... even those folks who don't ever log into the system.
Yep, this is something we plan to overhaul. Later this year we're going to be working on a unified inbox/messaging that pulls in everything from everywhere into OwnerRez and at that point we'll smooth everything together.
