I am in the process of putting together systems and tools for co-hosting and one of the tools I have built is an Owners Performance Portal.

I am not a software developer by trade, but I am an electrical engineer with 25 years of experience in control systems engineering. My work has focused on the design and integration of industrial automation systems across water and wastewater treatment facilities, mining operations, and manufacturing plants. This has included significant programming responsibilities, specifically for programmable logic controllers (PLC) and human machine interfaces (HMI) using the IEC 61131-3 framework. Through this experience, I have developed a strong understanding of programming structure, organization, and best practices.

If you go back far enough, my college programming courses included Pascal, Fortran, C++, and even a bit of assembly which probably tells you exactly how long ago that was!

I used Gemini to build this, along with Visual Studio Code (VS Code), GitHub, and Vercel.

I plan to build the following in the future:

  • Electronic guidebook to replace the Hostfully guidebooks that I am currently using
  • Listing optimizer
  • A revenue management tool to use with Pricelabs
  • A tool to automate my Ecobee thermostats
  • A tool to automate (as much as possible) guest messaging based around the parameters of my properties
  • Direct booking website

The plan is to build these all using Claude chat, cowork, and code.

I created StayMetrics.co, a dashboard to help me visualize and understand how I am pacing vs prior years and provide insights for improvements.  I've expanded it to give me reporting on a number of metrics, like channel mix and average length of stay. It can now even generate owner reports with custom logos as well as commission reports to help me understand how I am doing vs prior years in terms of commissions.

I have no coding experience.  I used Lovable for the main marketing page and Cursor for creating the dashboard.  I use oauth so other OwnerRez customers can view their own metrics simply by logging in.

I'm not a developer, but have been playing with Claude integrated with OR. So far, I've done the following: 

1) Connected OR to Tawk.to using (Claude Code and Railway to host the connection) so that my chatbot on my website can actually look up availability and pricing info to give accurate info to people asking the chatbot. 2) Connected OR to Claude Cowork so that I can run a "skill" every Monday morning that tells me how my bookings are looking this week vs. last year; 30 days out TY vs LY, ADR, etc. You can decide which data you want in the report. I call it my "Booking Pacing Report" and I can run it anytime from Claude. 3) I use claude for all kinds of other things as well that aren't necessarily related to the API connection. For example, if I'm running an email promo with a discount, I don't want to send it to people who already have a booking. But I also don't have a report in OR that connects people's emails with their booking dates. So, I download a "bookings detail" report with arrival dates and ask Claude to create a new version that connects it to a CRM report that has people's first name, last name and email.  By merging those together, I can now sort by anyone who has an arrival date in the next month and exclude them from my mailing list. Otherwise, we get grouchy people who receive the email about some discount and they want it retroactively applied to their booking! 

4) Another example, is I took the Booking Details report, told Claude that I consider Fridays and Saturdays to be weekends, and then asked for a new list of only guests who have booked "weekdays." Then, I connected it to the CRM list and had a great "Look Alike Audience" list for targeting ads at weekday people in Meta or Google AND i have a good mailing list of people who might want to book a weekday vs a weekend for a future email campaign.

5) I also downloaded all of my amazon purchases in Claude (we buy almost all of our supplies from amazon!) and asked it to tell me how to save money with either different product choices, bulk saving options and/or purchasing through Costco or Sams.

I should also point out that RedCarpet Host—an official OwnerRez integration—is a good demonstration of what's possible to build with AI coding and the OwnerRez API.

The primary component of RedCarpet Host is the Guidebook app. It includes a complete admin interface for building and editing guidebooks. Personalized guidebooks are generated for each booking.

The ability to use OwnerRez custom field codes as content in the guidebooks is a game-changing feature. It let's OwnerRez be my single source of guest information & instructions so guidebooks update automatically when I make a change to a custom field in OwnerRez. No need to update info in multiple places!

A uniquely AI feature is the ability to include dynamically-generated content in guidebooks based on AI prompts. e.g. Using the dates of guest's stay and property location to provide seasonal packing suggestion and activities.

I built a fully custom guest portal for my two vacation homes at Solterra Resort in Davenport, FL.
The goal was simple: one destination for everything a guest needs, finding a way to relive need for TouchStay, and I was missing the amazing features of my GuestView Guide. This is a way to have everything in one place directly from my website.

🚀 What I’ve Built with AI + OwnerRez API

My end goal is simple: remove myself from day-to-day operations while still scaling the business.

Over the past few months, I’ve been building a fully custom operations system on top of OwnerRez using AI tools.

🧹 Replaced Resort Cleaning with an Internal App

I built a full cleaning + inspection system:

  • Property-specific checklists
  • Required inspection workflows with photo verification
  • Cleaners must complete everything before marking jobs done
  • Consistency + accountability across all properties

🌡️ Built My Own Smart Device Automation (Replacing Vendors)

  • Recreated Jervis Systems-style thermostat control using Ecobee API

On top of all this, I created a centralized admin system to run everything:

  • Cleaning calendar + scheduling + inspections
  • Maintenance tracking + vendor management
  • Property info, access notes, and supply tracking
  • Blocked check-in alerts
  • SMS monitoring, error logs, and system health tools
  • Sync + debugging layer for OwnerRez data

At this point, it’s less of a “tool” and more of a custom operating system for running my STR business.

  • SOPs + templates embedded directly into workflows
  • More automation around guest messaging and issue resolution

I'm not a professional coder/developer but enjoy dabbling with tech and would say I'm moderately experienced. AI vibe coding (with Lovable) has helped me build several useful tools integrated with our OwnerRez account.

To start, I built our direct-booking site (potomacadventure.com). It's fully-synced with our OR data and automatically generates new property-detail pages when I add a property in OR.

The best part is; now that I've got our OwnerRez connection established for the web site, I'm able to re-purpose the same data to easily build other tools and the possibilities are endless.

For example; I just finished a task manager with a lot of features that could only be possible with the OwnerRez API connection:
- The admin dashboard let's us create one-off tasks or auto-generate tasks in real time based on our OR calendar.
- Our staff logs into the task portal with a PIN to see their task list.
- Tasks display check-out & check-in times. Late departures and early arrivals are highlighted in bright red.
- Tasks show the cleaner details they need to know about the next guests
- Staff can add notes and upload photos.

We’ve been seeing a lot of interest lately around MCP and AI integrations, which is awesome.

At the same time, I think many folks may not realize just how much you can already do today using the OwnerRez API combined with tools like ChatGPT, Claude, and others.

So I thought it would be fun, and helpful for the community, to start a bit of a Show & Tell thread


🚀 What have you built?
If you’ve created anything using AI + the OwnerRez API, we’d love to see it!

That could be things like:

  • Custom dashboards
  • Reporting tools
  • Automations
  • AI assistants
  • Anything else you’ve experimented with

Hi Jennifer!

Messages to past guests can only be sent up to 30 days after they've departed. If it's more than 30 days past their departure date, you won't be able to send them an email in OwnerRez, so your trigger wouldn't work. If you wanted to send it from OwnerRez, you'd want to set it to send 30 days or less after departure.

While the triggers don't have a condition to send it only to past guests with no reservations, a possible workaround is to use tags. While it most likely won't work for past guests, you can use this for any new guests going forward, and specify where you'd like to send the email. You could create a tag that can be added to their reservation, and triggers should have the optoin to add a condition based on tags. This way, the trigger would only be sent to bookings with the tag. More on creating tags and adding them to bookings:

I want to send a personal email a few days before the anniversary of the date a previous guest booked a last minute getaway (arrival 0-60days) IF they have not already booked - no future reservations?

Here is my trigger but how do I only send to previous guests who have no FUTURE reservations??

We are looking for a designer/coder who can help translate our brand design to the built in ownerrez site. It would be best of the designer is familiar with how the ownerrez site is set up, so that we are not paying the designer to learn the owner set-up. The only way I've found to do this is manually enter them as expenses (surcharges) and negative expenses (discounts). This way they show up on the Owner's Statement.

We don't currently have what you're looking for with PMv1, but PMv2 is being tested as we speak. I think you'll find a bit more of what you're looking for with that new version when it is released. We'll have a PM Owner Statement Summary Report that I believe will include much, if not all, of what you're looking for here.

On PMv1, you may need to build this out as a custom report for yourself using the data available in existing PM reporting, and exporting that to Excel.

Lake Mat and/OR Paddleboard Rental Agreement: 

CottageStays Inc. (“CottageStays”) having its primary business address as: 76701 London Road is a Cottage Rental Agency which also caters to the rental of non-motorized watercraft which include LakeMats and Paddleboards along with two Universal Personal Floatation Devices (PFD) for each Paddleboard rented 


TERMS, CONDITIONS and WAIVER 

CottageStays acts as the Lessor. The Terms and Conditions of this Agreement between you, the Lessee, and Cottage Care are as set out herein. Any Lessee must be of lawful age to enter into contractual agreements and you agree that it is the sole responsibility of you, the Lessee to ensure that while rented to you that all users of the Equipment accept and abide by these Terms and Conditions. 


This Agreement will be binding, enforceable and take effect once the Equipment booking process is approved and payment has cleared banking procedures. We will communicate with you by email throughout the process so that everything is in writing. You will be asked to confirm that you have read and understand the Agreement. 


You, the Lessee are agreeing with the Terms and Conditions, and as such you acknowledge and confirm that you have read, that you understand and that you agree to all Terms and Conditions, Payment Information and Conditions, the remedies should any of the Equipment be damaged, lost or stolen while in your custody. 


The undersigned understands and acknowledges the potential danger inherent in all travel by paddle boards and lakemats. You are agreeing that you understand these risks towards yourself and any other person you allow to use the Equipment which could include serious injury or death. You represent you have the necessary knowledge and skill to use the Equipment safely and that you will ensure any other person using the Equipment have the same knowledge and skill. You acknowledge it is your responsibility to obtain additional practice or instruction in safe and controlled conditions prior to venturing into conditions beyond your ability, and it is your responsibility to examine the Equipment you have rented and test it where necessary if you are contemplating a trip to areas in which help is not readily available. 


As a condition of this rental, you agree that you and anyone you permit to use the Equipment will operate it/them at all times in a responsible fashion including but not limited to the proper use of the Equipment. If you require additional PFD’s or if the universal PFD’s provided as part of the rental are not suitable for you or anyone you allow to use the watercraft, then you agree that you will provide your own PFD’s. 


You agree to replace or repair at the retail cost any of the aforementioned Equipment which may be damaged, lost or stolen while in your care. In such an event you agree that you will pay CottageStays the cost incurred in repairing or replacing the Equipment. 


In consideration of being allowed to rent this Equipment you hereby agree that you personally assume all risks in connection with the Equipment and you release CottageStays, its Directors, employees, agents and operators from any liability for harm, injury, death or damage which may befall you or any Equipment. You further agree to save and hold harmless CottagStays, its Directors, employees, agents and operators from any claim by you or your family, estate, heirs, or assigns arising out of your rental Equipment from CottagStays. 


You further state, unless indicated otherwise that you are of lawful age and legally competent to sign this affirmation and release, that you understand the term contractual and not a mere recital, and you have agreed to this document electronically or by email as of your own free act. 


YOU AGREE THAT YOU HAVE FULLY INFORMED YOURSELF OF THE CONTENTS OF THIS AFFIRMATION AND RELEASE BY READING IT AND UNDERSTANDING IT BEFORE YOU AGREED TO IT


Upon Acceptance by CottageStays of a Rental Request: 


LEASE 

The Lessor agrees to lease the Equipment to the Lessee, and the Lessee agrees to lease the Equipment from the Lessor in accordance with the terms set out in this entire Agreement. The Lessor will provide two (2) Universal Personal Floatation Devices for each Paddleboard rented. 


TERM 

Details of the Term of the rental agreement will be set out in email communications during the set-up of the rental. 


RENT 

The rental cost for the Equipment will be outlined in email communications during the set-up of the rental and the Rent will be paid prior to the Lessee taking possession of the Equipment by VISA, Master Card or Email Money Transfer and in most cases, this will be done via the Cottage Rental Reservation System. Details will be provided as part of the rental process. 


DELIVERY AND PICKUP OF EQUIPMENT 

The Lessor will, at the Lessor's own expense and risk, deliver and pick up the Equipment, PFD’s and Boater Safety Kit(s) to/from the Lessee through arrangements made in email communications during the set-up of the rental 


WARRENTIES 

The Lessor Warrants that: 

  1. The Equipment will be in good working order and good condition upon delivery. 
  2. The Equipment is of merchantable quality and is fit for the purposes it is ordinarily used for.

We'll have a PM Owner Statement Summary Report that I believe will include much, if not all, of what you're looking for here.

I am searching for an easy way to create for Homeowners a year end form letter that includes a "box" of the following info:

Rental (total of all base rental for each Homeowner for the year)

less Commissions (for the year)

less other expenses (Homeowner cleanings, supplies, concession payments, etc)

plus money we may have owed HO, ie: a laundry allowance

Total (which should total the Net rental proceeds paid to them for the year)

Statements are a challenge for our owners... we want full transparency... and we can certainly give them all of the information but it is NOT very end user friendly for our owners...   

We have some booking surcharges that have a built in expense on them... I can show a surcharge column on the statement but the expense piece of it is disconnected and shows at the bottom of the statement so the math to get to a commissionable total doesn't work on a row by row basis.

Does anyone have a custom statement view that they have setup and can share that includes surcharges and discounts?

  1.  CottageStays rents to responsible parties 25 years, or older. A valid Driver’s License, or other acceptable photo identification is required prior to arrival. CottageStays reserves the right to refuse service. 
  2. The cottage {PPUBNAME} is located at {PADDRS}
  3. The term of this cottage rental shall be from {BARR} to {BDEP} {BNNGHTS} nights  
  4. A security deposit of $500 is due 10 days before arrival and will be returned in full within 14 days of Checkout 
    {PCANPOL}
    The cottage guest will not be refunded for a late arrival or early departure.
  5. If the Cottage Owner is struck by disaster prior to occupancy, then all contracts will be NULL and VOID. In the highly unlikely event that the Cottage Owner shall be unable to provide the cottage for occupancy CottageStays shall refund, in full, to the Guest all monies paid to CottageStays.
  6. Maximum Occupancy: The maximum number of guests is limited to  {PMAXGUESTS}persons. Violation will result in removal without refund. Parties and large gatherings of any kind are strictly prohibited. Expected number of Adults: {BNADULT} and children: {BNCHILD}
    For legal purposes, the person placing the reservation must occupy the property. This person is considered to be the Guest. All other persons involved with the rental are considered to be the Guest's invitees, and all discussion regarding reservation, cancellation, and damage policies will be discussed with the Guest, not the guest's invitees.Please list first/last names of all persons who will occupy the property. Anyone who occupies the property who is not listed, will be trespassing (which is a criminal offence). Parties are not allowed!{BXGUESTOCCUPANTS} The following dog is welcome: Name, Breed, Colour {BXDOGNAME} {BXDOGBREED}
  7. Uninvited Pets: Cottages are often visited by mice, squirrels, etc, and insects that fly such as black flies, mosquitoes and crawling insects such as ants and spiders. These creatures are a part of nature. Much care and effort has been taken to prevent these visitors from entering the Cottage. Often mother nature circumvents all man-made obstacles. Therefore the Cottage Owner does not accept such irritations as grounds for cancellation of a rental and/or a refund of monies.
  8. Amenities: While we do our best to ensure all amenities advertised for the rental unit, (such as but not limited to WiFi, satellite/cable, hot tubs and saunas) are in working order during your stay, we cannot guarantee them. The failure of WIFI/satellite/cable, mechanical, electrical or electronic equipment or items that take place during your stay will not void or alter this Agreement. We will do everything they can, within reason, to correct and restore reported conditions or such problems, as soon as possible. Any issues presented after check-out cannot be remedied, and are not cause for compensation to customer.
  9. The cottage guest shall assume responsibility for any willful or negligent damages to the cottage and its premises. This is why it is so important that you report any damage to the Property upon arrival or occurrence
  10. The cottage guest should not attempt repairs and should contact the cottage owner as soon as possible to make emergency repairs.
  11. The cottage owner requires that the cottage renter have liability insurance. By signing below you acknowledge that you have the required insurance. The Owner DOES NOT provide insurance covering loss to any of the Guest’s belongings. It is the responsibility of the Guest to make sure all valuable and personal items are removed upon checking-out of the property. Agent and Owner are not responsible for any items left behind in the Property.
  12. NON-DISPARAGEMENT: Guest and attendees agree not to disparage the company, cottage or owner. Guest agrees to address any problems, either before or after the rental, directly with the company rather than by making disparaging
    or negative statements (blog posts, reviews, etc.) about the company, house or owner, online or otherwise. Any guest who does, under their own name, a pseudonym, anonymously or by any other means, disparage the company,
    house or owner will be held financially responsible for any damages done to the owner's business or reputation. 
  13. Smoking IS NOT permitted inside the cottage. 
  14. QUIET TIMES: Guest and all tenants agree to observe quiet time from 9pm to 8:00am, not limited too but to include any loud music, shouting, or other actions that would violate the noise ordinances or upset neighbors
  15. PARKING: Parking is limited to {PXVEHICLES} vehicles. Vehicles are to be parked in designated parking areas only
  16. If Guest fails to comply with local by-laws or directions from the Agent and complaints are lodged due, but not limited, to over-occupancy, noise, parking, garbage, open-burning fires, and fines are imposed by local authorities, the Guest will be charged the fine amount and shall be liable for fines issued against the owner and any and all loss of revenue due to the Owner's license being revoked.  In addition, the Agent reserves the right, at The Agent’s sole discretion, to evict the Guest from the property and no monies will be refunded.
  17. Access:  Guest shall allow Homeowner or the Agent access to the property for purposes of repair and inspection.  Homeowner and the Agent shall exercise this right of access in a reasonable manner
  18. Please note this cottage may be equipped with a door camera, temperature/noise monitoring device.

    Waiver of Release for Use of Pool and/or Hot Tub

    Welcome to our cottage! We are delighted to have you here and hope you enjoy your stay. To ensure the safety and enjoyment of all guests, please read and agree to the following guidelines for using the hot tub and/or pool.

    Use of Hot Tub and Pool:

    Safety First: Please exercise extreme caution and care when using the hot tub and/or pool. Safety is our top priority, and we want everyone to have a safe and enjoyable experience.

    Cleanliness: All guests must shower and/or clean their feet before entering the hot tub or pool. This helps maintain the water quality for everyone.

    Prohibited Items: To keep the water clean and safe, please do not use any oils, bubble bath, soaps, or other harmful substances in the hot tub or pool. Additionally, no glass products are allowed in the pool area. Water Quality: Our hot tub and pool are inspected, chemicals adjusted, and refilled seasonally. It is normal to see white particles in the water, which is the bromine sanitizing. Charges for Violations: If any prohibited items (soaps, bath products, food, alcohol, etc.) are found in the hot tub, a cleaning fee of $75 will be charged. Damage to the hot tub cover will result in a $400 charge. The cover should remain on the hot tub when not in use. Behavior: No horseplay is allowed in the hot tub. Do not sit on, jump on, or misuse the hot tub cover in any manner.

     

    Liability:

    By using the hot tub and/or pool, you agree to the following:

    • You will defend, indemnify, and hold harmless CottageStays, its owners, and employees from any and all claims, damages, liabilities, or losses arising out of or in any way associated with your use of the hot tub and/or pool, including but not limited to death, personal injury, or property damage.
    • You acknowledge that you use the hot tub and/or pool at your own risk and that CottageStays is not responsible for any injuries or damages that may occur.

    Pet Addendum

    We understand that pets are part of the family, and we're happy to welcome your furry friend to our cottage. To ensure a pleasant stay for everyone, please read and agree to the following guidelines for bringing your pet.

    Pet Information:

    Guidelines for Pet Stay:

    1. Comfort and Familiarity: Traveling and staying in unfamiliar places can be a scary experience for your pet. Try to pack a few familiar items such as a blanket from home and even your pet’s food dishes and water bowls. Extra toys are a great idea to include plenty of distractions because it also stops dogs from chewing on furniture. These items can really help ease their anxiety in a new environment. The more you can help make a new place feel like “home,” the more relaxed your pet will be.

    2. Leash Requirement: Pets must be leashed at all times when outside to ensure their safety and the safety of others.

    3. Clean Up: Guests are responsible for cleaning up any pet refuse. If any refuse is found on the property, an additional $150 will be deducted from your security deposit. Please check the property for all refuse before you leave.

    4. Furniture Policy: Pets are not allowed on furniture at any time. Any evidence of pets on furniture may incur extra cleaning fees.

    5. Flea and Tick Prevention: All pets must be treated with a topical flea and tick repellent prior to arrival. Fleas and ticks are prevalent in the area, and this helps protect your pet and the property.

    6. Damage Responsibility: Pets must not cause damage to the premises or furnishings. If damages occur, please inform us as soon as possible so we can work together to find a reasonably priced solution and arrange for a replacement before the next guests arrive.

    7. Noise Control: Guests should prevent pets from producing excessive noise that disturbs neighbors.

    8. Supervision: Pets should not be left unattended either indoors or outside at any time, including on the patio, yard, or porch.

    9. Liability Disclaimer: The homeowner assumes no responsibility for illness or injury that may incur to pets or humans while on the premises.

    The guest {CFULL} shall be solely responsible for the pet while on the property and hereby agrees to comply with the guidelines outlined above.

Hey Bransley,

The default Agreement OR provides is fairly universal, but we understand that there's no "one size fits all" here. You are more than welcome to make changes to that default Agreement as you see fit, or upload an Agreement of your own!

Of course, we always recommend running changes to your Agreements by your trusted legal advisors.

Hi all,

New to OwnerRez - I have my rental connected to AirBnb, VRBO, Booking.com via OwnerRez.  I want to use the default OR renter agreement but this agreement been made for the US and specific states. 

Is anyone using a modified version of the same agreement in Canada with success?  If so, do you have a modified version of the template I could start from? 

OwnerRez, do you have Canadian agreement?

Hey Janet,

Sounds like an export of the Bookings List View may accomplish what you're after here.

To do this, go to the Bookings tab in the OwnerRez menu bar, then select List on the far right (assuming you're not already in List view):

Once you're on the list view, use the Filter option to tell the system what date ranges to encompass, or whatever other preferred filters you'd like to sort by:

Next, use the Export button to export that file. You can either download to excel using the Export button alone, or us the dropdown arrow to choose your file preference:

Can anyone tell me how to separate the contacts for each specific or separate property. I have 3 properties in OwnerRez and the contacts are bundled together.

Do I use a Tag to categorize the property to keep them separated? I'm starting some email marketing and I really do not know how to separate the contacts for where they stayed in each property. Appreciate the guidance.
