Changing Charges

Bookings and Quotes are automatically created with charges populated by the rates engine, based on the seasons, rates, surcharges, and taxes you have entered.

Changing charges for Airbnb bookings should be handled via special offers.

Those are only the default charges, though, at any point, you can change the charges to override the amount. Maybe you want to add an extra cleaning fee or subtract a last-minute discount. we'll take you through those scenarios here.

Users should always remember:

  • If the final scheduled payment has already occurred, any additional payments will need to be collected manually.
  • Nightly rates for additional nights could be affected by Dynamic Pricing tools.

Change Quote Charges

Users can change the charges for a quote by navigating to the specific Quote > Charges > Change.

Manually Change Charges

If there is anything at all different about what this Booking or Quote should be charged, click the "Change" button.  This will display a list of the current charges for the booking, which would reflect the original dates.

This will create a new, empty Rent line at the bottom of the list. Enter the amount that should be charged for the extra night(s), and an appropriate description. The Taxed checkbox will automatically be selected when users choose Rent from the Item dropdown menu.

Notice that, when users add the additional rent charge, the percentage tax lines DO NOT automatically update to charge the appropriate tax amount. Users need to drag that Rent line above the Tax lines by grabbing the hamburger icon Hamburger Icon on the left of the item line so that the appropriate taxes are applied to the additional night. Click Save.

Users can also delete the item line by clicking on the right side trash icon Trash Icon . When satisfied with the booking charges, click Save. Be sure to review your taxes.

Review Taxes

Normally, when users change charges, the tax section should retain a percentage in the amount section for the tax, so it will automatically update when you add a new charge.

However, if the tax field contains a fixed amount, it may not automatically update. This might seem counterintuitive, but we don't want hosts unknowingly increasing agreed-upon charges if they are adding an additional fee that doesn't warrant it.

The easiest way to reset the taxes is to change the tax category to something else and then back. This will load the correct percentage in the amount box and adjust the tax totals appropriately.

OwnerRez users can follow the same process for both quotes and bookings. Here are a few examples:

Add an Extra Cleaning Fee

First, click Change to go into the Change Charges mode. On the lower left, click on the +Add Charge button. Users will want to make sure cleaning fees are added above the Tax line item (so it is taxed) but below the Rent line item.

  • Users should select the Cleaning Fee from the Item dropdown list.
  • The newly added Cleaning Fee will automatically be added at the bottom of the Charges list.
  • Users can move the new Cleaning Fee up or down by grabbing the grey "hamburger" Hamburger Icon icon and moving the charge to the appropriate place.
  • Users can edit the Description, Rate and whether the new Cleaning Fee is taxable.
  • Users can delete any of the items by clicking on the trash can Trash Can Icon icon.
  • Click Save.

Add a Last Minute Discount

We'll start with the quote we created above. Click Change to go into Change Charges mode. This time, we want to add a line item below the Rent line item (so the discount applies to Rent) but above the Extra Cleaning Fee (because we're only discounting Rent, not the cleaning fee). 

On the lower left, click on the +Add Charge button.

  • Users should select the Other Discount from the Item dropdown list.
  • The newly added Other Discount will automatically be added at the bottom of the Charges list.
  • Users can move the new discount up or down by grabbing the grey "hamburger" Hamburger Icon icon and moving the charge to the appropriate place, in this case below both Rent line items.
  • Users can edit the Discount, Rate and whether the discount is taxable, in this case a 10% Last Minute Discount for a total discount amount of $90, entered as -90 in the Rate column.
  • Users can delete any of the items by clicking on the trash can Trash Can Icon icon.
  • Click Save.

Reset Charges

If, at any point, you want to undo your custom changes and go back to the standard rates, users can click on the Charges section of the quote and click on the Reset to Property Rates button. This will recalculate the rates based on the standard rates users have configured.
