Line Item Pivot reports are useful for vacation rental business owners who need to quickly analyze large sets of financial data. They can help identify trends and patterns that may not be immediately apparent from looking at individual bookings or calendar data. By providing a clear visual representation of your OwnerRez financial data, Line Item Pivot reports can also help communicate financial information and trends to your stakeholders. Users can sort and/or filter the data by different criteria, such as by specific time periods, listing sites, booking criteria, and more.
Create your Line Item Pivot report by navigating to Reports > Detail Reports > Line Item Pivot, selecting from the following fields, and clicking on Run Report.
- Which properties
- Time period
- Which listing sites from the drop-down list/filter
- Filter by the following stay dates options.
- Any stay during period
- Use arrival date
- Use departure date
- Use booked date
- Include the following by clicking or unclicking the checkboxes.
- Owner bookings (default)
- Pending bookings (default)
- canceled bookings
- Host fees (default)
- Merge similar charges (default): groups charges by keyword into the same column and treats any surcharge, such as "cleaning" in its name, as a single column.
- Group by (e.g., None (default), Listing Site, Month, Owner, Property, Property Status (Active/Disabled), Quarter, Week, Year)
- Selecting None will provide a complete summary
- Selecting other groupings produces "mini reports" for each group with a Grand Total summary displayed at the top.
The Line Item Pivot Report will be previewed below, with a summary of the records displayed.
- Manually added "Other" surcharges are listed in their own column with the description you typed. With "Merge similar charges" on (the default), descriptions containing words like cleaning, pet, guest, or housekeeping are combined into one shared column — give a surcharge a distinct name if you want it reported separately.
- Refunds vs. negative surcharges: a refund is a payment adjustment, not a charge — it changes the Refunded, Paid, and Owed totals only and never appears in a Rent, Surcharge, or Tax column. To lower a charge in this report, add a negative surcharge or discount line to the booking instead.
