Process for Sending NDA to Client
This process requires access to Zoho Sign, which is restricted. Currently this is handled by Rex or Adria.

1. Receive Client Request

A client has requested a new copy of the PCI document for their payment processor.

They are ready to sign the nondisclosure agreement (NDA) to receive the document.
2. Gather Client Information

Obtain the client's email address from their ticket for sending the NDA.
3. Access Zoho Sign

Open Zoho Sign to initiate the NDA signing process.
4. Select NDA Template

Use the template for the NDA to prepare the document for signatures.
5. Fill in Signatory Information

Enter your name and email in the first line.

Enter the client's full name and email in the second line.
6. Review Initials and Signatures

Ensure your initials are correctly listed as the OR signatory.

Confirm the client's initials and full signature fields are correctly set as the User.
7. Adjust Names if Necessary

If the names or email addresses are incorrect, use the option to switch them back.
8. Send NDA for Signatures

Click 'send' to dispatch the NDA for signatures.

An email will be sent to you and to the client for signing. Reply on the ticket to let them know a separate email from Zoho Sign will be coming to them.
- Sign the NDA so it's only waiting on the client's signature.
After Signing - Process for Handling NDA and AOC Forms

1. Confirm NDA Completion

Receive confirmation that the user has signed the NDA..
2. Store NDA Document

The user receives a copy of the NDA from Zoho Sign, but the AOC form is not automatically sent.

Access the completed NDA document in your email or Zoho Sign.
3. Download the NDA Document

In Zoho Sign, navigate to 'Documents > Completed'.

Identify the correct document by checking the email address and date.

Use the right-hand menu to download it as a zip file.
4. Upload NDA to Google Drive

Go to Google Drive and locate the PCI non-disclosure folder.

Navigate to the appropriate subfolder for the year (e.g., 2026).

Unzip the downloaded file

Drag and drop the NDA file into the folder.

Use the naming convention: 'Client or Business Name PCI NDA Month Year'.

Note that these documents are valid for two years.
6. Access and Send AOC Form

The current AOC form is saved in the PCI non-disclosures folder.

If older forms are needed, they can be found in the "Previous" folder.

Download the AOC form and attach it to the client's ticket.
7. Client Follow-Up

Inform the client that they can forward the AOC form to their payment processor.

Alternatively, they can use the information to complete their own personal attestation.
