NEW KEEP EVERYTHING NEAT 'KEN' CHECKLIST for QA Review

 

 

1. Run LQA - If “Errors” are found, ask CSE to correct them. Also point out any “Warnings” or “Info” that the CSE seems to have overlooked which should be a normal part of their setup. Watch for “nobug” tags which may explain the presence of certain warnings that can be disregarded.

2. Go To Settings and Look At Everything Straight Down the Menu Except - SMS, Suppressed Emails, Widgets, WordPress, Property Sharing, Form Messages, Culture (unless property is outside US), Travel Insurance, QuickBooks and Tags

a. Seasons - overlapping dates, if minimum nights, confirm not using Spot Rates/Dynamic Pricing.  
b. Rates - are they using dynamic pricing - if so, confirm with audit log that it’s feeding into OR; also confirm they are using PL/BP for rates AND minimum nights; are there seasonal rates - if so, check to see if there are spot rates/dynamic pricing and that we’ve told client the seasonal rates won’t be used. 
c. Surcharges - do they look correct? Are the listing sites accurate for the way things are set up (airbnb limitations)? “Everything But ABB & Vrbo” has been removed? 
d. Discounts - configured correctly? Won’t stack? If for long stays, do property listing rules permit long stays?
e. Taxes - Compare what’s in OR to a recent ABB booking. Are percentages the same? Are taxes configured correctly, particularly with regard to ABB?
f. Pricing Preferences - I give this a glance. I think it’s best to show a “Detailed Breakdown” on rent, because we get a lot of questions about why things don’t show as individual line items. But I don’t harp on this.
g. Holidays - make sure they’re turned on.  
h. Cancellation Policies - make sure they have at least one. Compare the policy to what’s on API pages (if ABB API is REALLY different from Vrbo I will ask CSE if they know why). Also make sure OR cancellation policy is chosen on property listing rules page. 

* Make sure the CORRECT Cancellation Policy is entered in 4 different places:

1. Settings > Rules > Cancellation Policies
2. API Integrations, for every channel, under “Cancellation Policy.”  Use the “Custom” OwnerRez established policy whenever possible. (check House Rules while on this page)
3. Properties > Rules for each property - Use the OwnerRez policy when available.
4. Properties > Channel Rules for each property - Only change Global Rules/Settings if you want to override the API settings for a specific property.

i. Check-In/Out - Do times make sense? Are time zones correct for property?
j. API Integrations - Review setup pages to make sure they appear correct and House Rules are in place. Check Channel Rules in Property Listing to see if House Rules exist and if they match what’s in API.

* Vrbo

1. Credit Card Payments > Security Deposit - make sure to check “Don’t show in Vrbo guest charges…” if they have a sec. dep
2. Make sure the statements below are listed under Channel Rules if applicable: 
          a. Guest is required to sign a Rental Agreement within "XX Timeframe" after booking.
          b. Security Deposit Required of $XXX
          c. Minimum age to rent is XX
          d. NO Smoking.  NO pets.  NO parties/events.
3. Reviews box checked if desired

* Airbnb
        1. You have the option to Copy and paste rules from AirBNB site if that’s what the client wants. Otherwise, and in addition, make sure the statements below are listed under Channel Rules if applicable: 
        2. Guest is required to sign a Rental Agreement within "XX Timeframe" after booking with full contact information for compliance reasons.  For reservations made less than 48 hours before              check-in, the renter agreement must be signed within 4 hours and check-in instructions will not be provided until the renter agreement is signed. 
        3. Security Deposit Required of $XXX. Deposit to be processed by Host on Guest's Credit Card.
        4. Minimum age to rent is XX
        5. NO Smoking.  NO pets.  NO parties/events.
        6. We ensure compliance with all data privacy laws.
        7. Quiet Hours are from XX:XX PM - XX:XX AM.
        8. Security Deposit in Airbnb API - If using Airbnb API and have a credit card payment processor, Security Deposit being held by OwnerRez.  Or, if client doesn’t want that, “nobug- secdep” tag.

* Other APIs
1. Should be as similar to Vrbo as possible.
2. Make sure property listing numbers are entered

k. Calendar Import/Export - make sure no import iCals remain from channels or previous PMS. If not using API, make sure import and export iCals are in place. Be sure that they are set to Bookings Only.
l. Channel Bridge - are they using it as they should?
m. Custom Sources - quick eyeball to make sure configured for any/all sites 
n. Identifier Mapping -  Are all properties mapped? Spot check to make sure they’re accurate. Add any new listing numbers from API integrations. 
o. System Messages - quick look to make sure they haven’t turned off any important ones 
p. System Alerts (My Alerts - found in Profile at top, right of page) - quick look to make sure they haven’t turned off any important ones 
q. Templates - spot check - do they look good - have theming - no missing values for field codes - do the important ones have triggers 
r. Triggers - spot check - do they seem to be set appropriately - do ones with sensitive info require paid in full and RA signed (if not, did CSE discuss with client?)
s. Website
* Hosted Website
              1. Check to see if it looks good.
              2. Make sure you remove social media links from the Footer if they don’t have an account
              3. Setup Tablet and Phone under Header Layout
              4. Confirm they changed the DNS settings to go live -  https://www.ownerrez.com/support/articles/hosted-going-live   
              5. Confirm HTTPS is green/active

* Non-Hosted Website - Make sure they have created our widgets and added them to their site.
* No website - set “no bug-website” Tag in SA
u. Theming - theming done - logo in place or space for logo deleted - all links work (may need to check those in a template)
v. Verified Domain - email associated with domain (email in Theming) - make sure they either have things Verified and are using an email or add Tags for “nobug - verified domain” and/or “nobug-verified email” in SA.
w. Culture - quick look if property/client is non-US
x. Legal Agreements - has one been set up? Preview looks good? Extra agreements have template/trigger if needed?
y. Payment Methods
* Confirm that a credit card processor has been setup, especially if connecting to Vrbo. Click on “Test API Credential” if button is available. Is “Statement Text” appropriate?
* Look at Credit Card Processing History to see if charges have come thru and if they are green.
* If no Credit Card processor will be used then add the “nobug-credit card” Tag in SA.
* Eyeball check and manual payments to see if set up correctly (also need to reference settings in property listing for what payment methods are offered and the timelines for each.
z. Door Locks - are they set up - are door codes showing in bookings? - are door codes correct in templates?
aa. Custom Fields - eyeball if there are any to make sure they appear correct
3. Properties - quick overview - make sure Headline doesn’t have any symbols (Airbnb) - quick look at boxes on Accommodations, Amenities and Location to make sure they’re checked - quick look at rooms/bathrooms to make sure things are showing as “Private”, have toilets, not doubled up with “tub” or “shower”, etc.

4. CRM -
Reviews - make sure we have historical REVIEWS from ABB & Vrbo

5. Bookings -
Look at Bookings to make sure historical Channel Bridge has been run to pull in old info.  If for some reason they have chosen not to run CB, add the “nobug-history” tag in SA. 
**Be Sure to Add Ken Checklist tag to SA after you have completed checklist.
 

PM Clients

  1. Owners - confirm there are owners and the settings have been applied
  2. Owner Mappings - confirm each property has an owner associated with it
  3. Portal Access - have they entered in their owners and cleaners?
  4. Batch updates - 
    1. Have bookings that were imported been changed to managed?
    2. If any changes have been made to managed/unmanaged or commission components has an update been made to Recalculate commission and expenses?
  5. Statements - Has at least one statement been generated?  If possible, that should be done and verified with the client as correct, this is proof that PM settings are as desired.
