Booking Requirements

The Booking Requirements page is a centralized dashboard that lets you review guest requirements across all your properties and booking channels in one place. You can change any requirement from the grid and fix everything that conflicts with Airbnb's house rules in one step.

Go to Settings > Booking Requirements. Direct booking guests do this while completing the Confirm & Pay guest form; channel guests do it while completing the My Stay (guest portal) after booking.

Every change you make here updates the property's Rules or a message, so you'll see the same settings there.

Booking Requirements Grid

Each row is a requirement, each column is a booking source, and each cell tells you how many of your active properties ask that source's guests for it.

Rows (Booking Requirement):

Columns: Direct, then one column for each source you have connected, such as Airbnb.

Cell displays:

  • All – every active property asks this source's guests for it
  • 3 of 12 – 3 properties have booking requests, 9 have no booking requests
  • None – no property asks this source's guests for it

The footnote under the grid shows how many active properties the counts are out of.

Change a requirement

Click any cell to change that requirement for that source across your properties. The window title names both, such as Sign rental agreement · Airbnb bookings.

Contact info and security deposit cells

  1. Click the cell.
  2. Choose whether this source's guests are asked at all properties, no properties or specific properties. For specific properties, check them in the checklist.
  3. Save.

OwnerRez adds the source to, or removes it from, each property's "All sources except" list for that requirement.

OwnerRez adds the source to, or removes it from, each property's "All sources except" list for that requirement.

  • Contact info: the window tells you how many properties still ask because the booking has a rental agreement or security deposit. The Airbnb window also lists Airbnb's exceptions.
  • Security deposit: properties that stop asking a channel's guests also stop showing the deposit on that channel's listings.

For Airbnb bookings, OwnerRez may not have the guest's real phone number. See Airbnb Guest Contact Info.

Rental agreement cell

The rental agreement window lets you choose which agreement this source's guests sign at each property, or that they sign none.

  1. Click the cell. The window opens on your saved settings, such as "Required at 8 of 12 properties."
  2. Use Find a property and the All, Required and Not required buttons to find properties.
  3. For each property, pick one:
    • Use default ({agreement}) – the property's own rental agreement
    • A specific agreement – this source's guests sign that one instead
    • Not required – this source's guests sign nothing
  4. To set every property shown at once, use the All properties picker at the top. It reads Mixed when properties differ.
  5. Save. OwnerRez updates each changed property's Rules > Rental Agreement section.

In the Airbnb window, a triangle marks each property that asks Airbnb guests to sign without an Airbnb exception. Set the exception in that property's Rules.

The Direct column

Direct bookings have no source, so the Direct cells edit Any Custom Source on each property. It also covers your own sources, such as My Website.

Any Custom Source also covers your own sources, such as My Website, so a change here applies to those bookings too.

Airbnb

Airbnb conflicts

The page flags anything you ask Airbnb guests for that breaks Airbnb's house rules, so you can fix it before it affects your listings. See Airbnb House Rules for the policy itself.

  • Alert line. While anything conflicts, a one-line alert above the grid says what conflicts, with a Fix all button and a link to Airbnb's policy. It disappears once nothing conflicts.
  • Label. The Airbnb column heading shows an amber label with "!" while anything conflicts, and a green label with a check when nothing does. Hover or tap it to see the conflicts listed.
  • Fix tag. Each conflicting cell is amber with a Fix tag.

What counts as a conflict:

Requirement Conflicts when
Sign rental agreement A property asks Airbnb guests to sign and has no Airbnb exception
Confirm contact info A property asks Airbnb guests for it without an Airbnb exception for a law or homeowners association (HOA) rule, and Airbnb guests don't sign a rental agreement under an exception
Authorize security deposit Never. Airbnb allows deposits sent in the listing's fee field.

A property that asks for contact info because the booking has a security deposit isn't a conflict. Guests must confirm contact info before they can authorize a deposit.

Fix all Airbnb conflicts

Fix all removes every conflicting requirement for Airbnb guests in one step, and leaves alone any property whose Airbnb exception allows a requirement.

  1. Click Fix all in the alert line above the grid. You can also open it from the Airbnb Confirm contact info cell.
  2. Review the list in Fix Airbnb requirements. It can include:
    • Remove contact info. Stops asking Airbnb guests to confirm contact info and answer your Additional Questions on the properties that ask them.
    • Remove rental agreement. Adds Airbnb to the rental agreement exceptions of each property that asks Airbnb guests to sign.
    • Remove from message, one item per message. Excludes Airbnb from each message that reaches Airbnb guests and links the My Stay (Guest Portal), Rental Agreements or the New Card guest form.
  3. Uncheck anything you want to keep. If you set an Airbnb exception for a property later, you can turn its requirements back on.
  4. Click Apply. The button shows how many changes you've checked, such as Apply 3 changes.

The list also notes when Airbnb guests will still confirm contact info because a property asks them for a rental agreement or security deposit.

Fix all doesn't touch security deposits, other sources or bookings already made.

Things to know

Existing bookings. A booking keeps the requirements it was made with. Changes on this page apply to new bookings only. To change one booking, use the booking's Rules page.

Property Rules alert. A property mapped to an Airbnb listing shows an alert at the top of its Rules when its requirements conflict with Airbnb's house rules. The alert counts contact info and rental agreement requirements, and links to Booking Requirements.

New properties. A new property starts with Airbnb left out of the contact info, rental agreement and security deposit requirements.

Airbnb channel integration page. Each Airbnb channel integration page shows a one-line summary of what its guests are asked for, with a link to this page.

Team Access. Fix all needs account-wide access. Team members limited to certain properties see those properties' requirements, but not Fix all. Team members with view-only access can review the page without making changes.

FAQ

I turned off contact info for Airbnb, but Airbnb guests are still asked for it. Why?

A booking with a rental agreement to sign or a security deposit to authorize always asks for contact info first. Remove the rental agreement for Airbnb, or the deposit, and those guests won't be asked.

Why doesn't my security deposit show as a conflict?

Airbnb allows a security deposit sent in the listing's fee field and released within 7 days of checkout, which is how OwnerRez sends it.

A property needs a rental agreement for Airbnb guests. How do I stop it being flagged?

Open the property's Rules > Rental Agreement and set the Airbnb exception reason that applies. The cell stops showing as a conflict, and OwnerRez uploads the agreement to the Airbnb listing.

Why don't I see a source I use?

The grid shows Direct and each source you have connected. A source with no connected channel doesn't get its own column.

Can I undo Fix all?

There's no single undo. Turn each requirement back on from its cell on this page, or from the property's Rules, and add Airbnb back to any messages you changed.
