Rental Agreement Rules

Each property decides which guests sign rental agreements by booking sources (e.g., Airbnb, Booking.com, Vrbo, etc.) and which agreement they sign. For Airbnb, the property also holds the reason Airbnb allows an agreement, and OwnerRez uploads the agreement to the Airbnb listing for you.

To write or edit the agreements themselves, see Setup & Configure Legal Agreements.

What the Rules summary shows

Go to Properties > [property] > Rules > Rental Agreement and click the edit pencil. The section sits between Contact Info and Security Deposits.

The Rental Agreement section in the property's Rules summarizes the settings:

  • Required for: such as "All sources" or "All sources except Airbnb". A green label follows "except Airbnb".
  • Airbnb status line, while Airbnb guests are asked to sign: amber "Airbnb only allows this with an Airbnb exception. Set Airbnb exception", or green "Airbnb allows this with your Airbnb exception."
  • The agreement, linked, then a line for each different agreement, such as "Airbnb signs: Airbnb Agreement".
  • Airbnb exception, while Airbnb guests are asked to sign: the reasons and law or HOA rule, or "Not set", with each listing's contract upload status.

The Rental Agreement section in the property's Rules summarizes the settings:

A property that isn't mapped to an Airbnb listing shows nothing about Airbnb.

If the property's contact info or rental agreement conflicts with Airbnb's rules, an alert at the top of the property's Rules links to Booking Requirements.

Choose who signs and which agreement

On Change Rental Agreement Rules, three settings decide what each guest signs.

  1. A rental agreement is required for. Pick one:
    • All sources – every guest signs
    • All sources except – pick the sources that don't sign, such as Airbnb
    • No sources – no guest at this property signs
  2. Rental agreement. The agreement guests sign. Use Manage rental agreements to write or edit agreements.
  3. Different rental agreement for a source (optional). Add a row to give one source its own agreement, such as an Airbnb agreement for Airbnb guests. You can add one row per source. Sources you excluded in step 1 aren't offered.

Direct guests sign at Confirm & Pay. Guests from other sources sign in My Stay after booking.

If the property asks a source to sign but no agreement applies, those guests aren't asked to sign anything.

If the property asks a source to sign but no agreement applies, those guests aren't asked to sign anything.

Bookings, new properties and copying settings

Existing bookings. A booking keeps the agreement it was made with. Changing the property's settings, or turning off or deleting an agreement, affects new bookings only. To change one booking, use Rental agreement on the booking's Rules page: pick an active agreement or No agreement.

Quotes. A new quote takes the property's agreement for its source. Change it on the quote's Rules page, and the booking made from the quote keeps it.

New properties. A new property starts with the rental agreement settings most of your properties share, with Airbnb added to the exceptions. Duplicating a property copies its settings. An existing property adds Airbnb to its rental agreement exceptions the first time you map it to an Airbnb listing.

Apply rules to other properties. This copies the Rental Agreement settings, but not the Airbnb exception, since that depends on each listing. Check Update Bookings to apply them to upcoming bookings that don't have a signed agreement yet. A property that asks sources to sign but names no agreement can't be copied until you choose one.

Airbnb

Set an Airbnb exception

For bookings made from November 20, 2026, Airbnb allows a rental agreement only for specific reasons. If one applies to this property, record it as the property's Airbnb exception. See Airbnb House Rules for the policy.

The Airbnb exception block appears only when the property is mapped to an Airbnb listing and Airbnb guests are asked to sign. It asks, "Why do Airbnb guests need a rental agreement at this property?" Check every reason that applies:

Reason When you can choose it
Required by a law or homeowners association (HOA) rule Always. Enter which law or rule in Which law or HOA rule? (up to 80 characters).
Optional amenities the guest chooses Always
Stays of 28 nights or longer Only when the property's rules allow stays of 28 nights or more
Airbnb Luxe listing Only for an Airbnb Luxe listing
Other Only for listings in Australia, Brazil or Germany

A reason Airbnb doesn't allow for your listing is greyed out, with the reason shown beside it, such as "(Not a Luxe listing)".

Status line:

  • Amber, "Airbnb only allows this with an Airbnb exception. Choose a reason below." – Airbnb guests are asked to sign and no reason is set.
  • Green, "Airbnb allows this with your Airbnb exception." – at least one reason is set.

An Airbnb exception for a law or HOA rule also allows you to ask Airbnb guests for contact info. So does any exception when Airbnb guests sign the rental agreement. See Contact info rules for a property.

The Airbnb exception block appears only when the property is mapped to an Airbnb listing and Airbnb guests are asked to sign.

Contract upload to Airbnb

Once a property asks Airbnb guests to sign and has an Airbnb exception, OwnerRez uploads the rental agreement to each mapped Airbnb listing as the listing's contract. You don't need to upload it in Airbnb yourself.

What's uploaded:

  • The agreement Airbnb guests sign at this property: the property's different agreement for Airbnb if it has one, otherwise its rental agreement.
  • A blank PDF of it. Your account details are filled in, but no guest names, dates, emails or phone numbers.
  • Your exception reasons, and the law or HOA rule you entered.
  • One language: the one OwnerRez sends your Airbnb listing description in.

Airbnb shows the contract under Contracts in your listing settings, and guests can read it before they book.

Before you set an exception:

  • Contracts are publicly visible on the listing, so keep personal details out of the agreement. OwnerRez's upload leaves guest fields blank.
  • Airbnb doesn't require guests to sign the contract and doesn't enforce it. Collecting the signature is up to you, which OwnerRez does in My Stay or at Confirm & Pay.
  • Airbnb can ask for proof that your contract fits an exception, so keep a copy of the law or HOA rule.
  • Add-on agreements, like a pet or golf cart agreement, may fit the optional amenities exception. Disclose them under Requests on the listing.

Upload status. The property's Rules show each listing's status under the Airbnb exception:

Status Meaning
Sending to Airbnb OwnerRez is uploading, or Airbnb is still checking the file. This usually takes about a minute.
Showing on your Airbnb listing Airbnb accepted it. Click the link to see Airbnb's copy.
Rejected, with Airbnb's error Airbnb refused the file. If this was a replacement, guests still see the previous file.

If the property is mapped to more than one Airbnb listing, each status names its listing.

Keeping it up to date:

  • Changing which agreement Airbnb guests sign, or editing that agreement's text, uploads the new version in place of the old one.
  • Changing the reasons updates them on Airbnb.
  • Excluding Airbnb from the rental agreement, or clearing every reason, removes the contract from the listing.

Contracts you uploaded yourself. OwnerRez never touches a listing's contract while the property has no Airbnb exception. Once you set one, OwnerRez replaces the listing's contract with your rental agreement. Clearing every reason later removes it, even a copy you uploaded in Airbnb yourself.

FAQ

How do I ask no guests to sign?

Under A rental agreement is required for, choose No sources. Guests at that property aren’t asked to sign a rental agreement.

Is there a built-in agreement?

No. A guest is asked to sign only when the property asks the guest’s booking source and names an agreement. Create an agreement under Settings > Rental Agreements, then select it on the property’s Rules.

I turned an agreement back on, but no one is asked to sign it.

Turning an agreement off removes it from its properties, and turning it back on doesn't put it back. Use the Use on properties option under Settings > Rental Agreements to choose where it applies.

Do Airbnb guests have to sign the contract on Airbnb?

No. Airbnb shows it on the listing for guests to read before booking. If Airbnb guests also sign in My Stay, that's the rental agreement step OwnerRez asks for, and it's allowed under your exception.

Why is a reason greyed out?

Airbnb doesn't allow it for that listing. For example, "Stays of 28 nights or longer" needs the property's rules to allow a 28-night stay.

The upload says Rejected. What do I do?

Read Airbnb's error in the status, fix the agreement or reason, and save again. Guests keep seeing the previous file until a new one is accepted.
